PATRICK FOR PHYSICAL THERAPY
I’m Patrick. I keep your clinic day moving and follow through on cancellations, missed visits, and openings. Your scheduling policies stay firm; exception requests go to the person you authorize.

03 / RUNNING THE SCHEDULE
Alex already has a follow-up booked and asked for an earlier time with Taylor. See Patrick match an opening, confirm the change, and keep the next scheduling step visible.
Step 1 of 5 · Opening
If anything opens with Taylor before Friday, please let me know.
You asked us to let you know about an earlier visit. An opening with Taylor is available tomorrow. Would you like to see the options?
Illustrative workflow with fictional people and sample data. No real appointment is created. Available actions depend on your clinic’s setup and EHR integration.
03 / BETWEEN APPOINTMENTS
See who is arriving, who is with a therapist, and who needs the next visit booked. Patrick tracks confirmations, schedule gaps, and follow-up across providers, with a next action and someone responsible for every open loop.

START WITH THE TOOLS YOU HAVE
You can start without connecting your EHR. During setup, we’ll confirm which patient information and scheduling actions your EHR supports.
01 / INTAKES & PATIENT HISTORIES
Patrick asks, listens, and follows up on what the patient says. Your team gets a clearer story before arrival, with unanswered questions still visible.
Step 1 of 3 · Hear the history
Before your PT visit, tell me what you’re recovering from and when it happened.
I had my right knee replaced two weeks ago. I want to get back to walking at work.

02 / WHEN A PATIENT NEEDS YOU
A missed appointment. A late cancellation. A request to waive the fee. Patrick states your policy directly and follows the required next step. He does not soften the rule, bargain over it, or promise an exception.
Your clinic sets the notice period, fees, repeat no-show rules, and who can approve exceptions. Patrick follows those instructions. Clinical questions, authorization issues, and exception requests go to the team member you designate.
I missed my appointment. Can you waive the no-show fee?
The $50 no-show fee applies under our clinic’s policy. I can’t waive it. I’ll send your request to the manager, who is authorized to review exceptions. The fee remains due unless they approve a waiver.
Fictional example: this clinic has a $50 no-show fee and manager-only waivers. Patrick uses your actual policy and authorized process; fee posting and collection depend on your setup.
CARE-PLAN FOLLOW-THROUGH
When checkout ends without another appointment, or a missed visit leaves a gap, Patrick follows up on the next clinician-directed visit. The loop stays open until the patient books or your team records a different next step.
See the open loops on the boardCANCELLATIONS & OPENINGS
When a slot opens, Patrick contacts eligible patients who asked for an earlier visit, matching the appointment type, therapist, and duration to your scheduling rules. Contact preferences, clinician instructions, and required referral or authorization checks guide the offer.

04 / ONGOING TEAM DEVELOPMENT
Patrick keeps development part of the workweek: practical situations, feedback, another attempt, and a next step to carry into the job.
A culture of constant improvement grows through those everyday habits. Coach Patrick helps people notice what needs attention, explain their thinking, keep their commitments, and learn from what happens next.
That is agency in practice: taking a thoughtful next step without waiting to be told, and knowing when to ask for help. Your leaders reinforce the habits; Patrick helps keep the practice moving.
Practice patient explanations, useful handoffs, and difficult conversations. Work on what to say, what to ask, and how to check that the other person understood.
Optional short exercises ask learners to hold, update, and use information as it changes—practice for keeping track of the details in front of them.
Work through setting expectations, giving feedback, and honoring commitments. Practice deciding what to own, what to delegate, and when to step in.
Practice shared priorities, role boundaries, and resolving friction. Work through the handoffs between the front desk, clinical team, and checkout.
